How VGC digitised its subsidy operations while making them transparent and accessible
One platform for a particularly diverse subsidy landscape
The VGC supports Dutch-speaking life in Brussels through initiatives related to education, culture, youth, sport, welfare, and health. A core task of the VGC is allocating government subsidies to a wide range of organizations: from schools and community centers to sports clubs and welfare initiatives.
This great diversity of subsidy streams and applicants makes the processes complex. In other words: no two subsidy cases are ever exactly the same. Therefore, the VGC looked for a flexible and user-friendly platform that supports all these processes without relying on IT development for every change.
Flexibility and autonomy at the core
With the Nimbl platform, VGC takes control of the process itself. VGC staff configure subsidy streams themselves and manage forms. New grants and project calls are quickly live, fully under their own management. The platform covers the entire process: from application to decision, reporting, and follow-up. Applicants submit files online via the subsidy portal, upload their documents, and track the status of their application in real time.
From fragmentation to real-time insight
Digitalisation not only brought more convenience but also fundamentally changed the way of collaborating. In the past, files were spread across mailboxes, paper documents, and separate registries, while today the VGC has one central file management system with Nimbl. Colleagues can therefore collaborate more easily across departments and take over files more quickly when someone is absent.
The next step forward came in 2025 with the integration between the subsidy portal and their financial management system. Payment orders and payment information are exchanged automatically. This means that everyone, from the file manager to the requester, always has an accurate and up-to-date financial status, without double entry or manual follow-up.
Additionally, the platform also improved the data quality within the organisation. Because applicants regularly validate and update their data via the subsidy portal, contact and account details remain better up-to-date.
Ready for tomorrow
As an early adopter, VGC has built up a rich set of configurations and processes within the Nimbl platform over the years. Today, the organization is taking the next step: further optimizing processes and upgrading to the latest version of the platform. This way, VGC will continue to respond quickly, transparently, and efficiently to new societal needs and subsidy flows in the future.
