A structured and reliable reporting and inspection system for animal welfare
With the implementation of Nimbl's digital case management system, the Department of Environment, Animal Welfare Division of the Flemish Government took a significant step towards data-driven and efficient operations. Through process digitalisation and a clear structure, they can now devote their time to what truly matters: protecting animals.

Animals Welfare Flanders is responsible for policy and enforcement regarding animal welfare. Daily, they follow up on reports concerning the well-being of animals, ranging from complaints about poor housing conditions to cases of severe neglect. The Nimbl case management platform supports file managers in a quick and timely follow-up of these reports.

Why the need for extra structure and overview

Before the implementation of Nimbl, the existing working method gradually reached its limits. Notifications and case information came from multiple sources and required various manual steps. As a result, additional coordination was necessary, and it became less straightforward to work quickly with a single up-to-date overview. This led to the following points of focus:

  • Data needed to be consolidated from different sources
  • An overview was not always immediately available
  • Additional data quality checks were required to ensure data consistency
  • Reporting involved extra manual steps to bring insights together
  • Monitoring legal deadlines and decisions required extra attention

The switch to Nimbl addressed these evolving needs and brought more structure, clarity, and uniformity to the follow-up process.

The solution: a centralised and structured case management system

All messages originating from the Flemish government web form are now automatically captured in the case management system. Thanks to structured input fields and dropdown lists, data quality has significantly improved. The entire process is supported, and each complaint is followed up according to a consistent flow:

  1. Registration of complaints (e.g., poor housing, undernutrition, neglect)
  2. Assignment to inspectors and initiation of inspections
  3. Potential collaboration with police in serious cases
  4. Decision-making regarding seized animals
  5. Handling through letters, warnings, and official decisions

The solution was enhanced with smart integrations from the Flemish government that significantly simplify the work of case managers, such as: 

  • MAGDA integration: automatic consultation of personal and company data  
  • Flemish Codex: quick search and selection of relevant legal articles
  • Document generation: automatic formatting of letters and reports via Word templates

Migration and collaboration

The implementation involved a complex process, bringing together data from various sources and previous systems into a single central platform. As a result, Dierenwelzijn today has a performant and user-friendly system that significantly enhances their operations.
